Job Description – Dispatch, Inventory & Purchase Assistant

We are looking for a responsible person to handle dispatch, inventory, purchase follow-up and proper record keeping for our bakery.

• Main ResponsibilitiesPrepare and dispatch customer orders correctly and on time.
• Check the item, quantity, packing and label before every dispatch.
• Coordinate with delivery staff/riders for timely delivery.
• Maintain proper records of all incoming and outgoing stock.
• Maintain stock of raw materials, bakery ingredients, finished products, packaging materials and other items.
• Regularly check physical stock and make sure it matches with the records.
• Inform management in advance about low-stock or out-of-stock items.
• Check for damaged, expired or near-expiry materials/products.
• Follow up with suppliers for pending purchases, material availability and delivery status.
• Coordinate with management for purchase requirements and place/follow up orders as instructed.
• Check the quantity and condition of material received from suppliers.
• Maintain proper records of purchase orders, bills, material received, pending orders and supplier details.
• Maintain proper records of dispatches, inventory, purchases, returns, wastage and other stock movements.
• Keep all bills, challans, invoices and other documents properly organised and filed.
• Maintain proper arrangement and cleanliness of the stock and dispatch area.
• Report any shortage, excess, damage, wastage or stock difference immediately.
• Provide daily/weekly updates of stock, purchases and dispatches to management.
• Ensure that all work and transactions are properly recorded and nothing is left undocumented.
• Basic RequirementsBasic computer and Excel knowledge.
• Good counting and record-maintaining skills.
• Able to follow up with suppliers and delivery staff.
• Responsible, organised and punctual.
• Previous experience in a bakery, food business, store, inventory or dispatch will be preferred.

Main ResponsibilityTo ensure that orders are dispatched correctly and on time, required materials are purchased and followed up properly, inventory is accurate, and complete records of all activities are maintained.
