CARETAKER / ASHRAM ADMINISTRATION & FACILITY EXECUTIVE (RESIDENTIAL)

About the Role
We are looking for a sincere, disciplined, responsible, and trustworthy individual to join our Ashram as a Residential Caretaker & Administration and Facility Executive.
The role involves looking after the day-to-day functioning of the Ashram, Gaushala, basic administration and accounting work, procurement, and maintenance activities related to infrastructure and utilities.
The Gaushala is a very important and integral part of the Ashram's functioning. The selected candidate will be responsible for ensuring the proper day-to-day care, cleanliness, feeding, health monitoring, and general management of the cows and other animals under the Ashram's care.
The candidate will stay within the Ashram premises and become an integral part of the Ashram community while maintaining its values, discipline, cleanliness, and respectful environment.
Key Responsibilities
1. Administration & Accounts
- Maintain basic accounting records in Tally.
- Make routine accounting and expense entries.
- Maintain bills, vouchers, receipts, and supporting documents.
- Assist in day-to-day administrative activities.
- Coordinate with management regarding routine operational requirements.
- Maintain appropriate records and documentation relating to Ashram operations.
- Assist with local purchases and procurement as required.
2. Gaushala Management & Animal Care — IMPORTANT INTEGRAL RESPONSIBILITY
The Gaushala will be a major and essential responsibility of the position. The selected candidate will be expected to take active responsibility for the proper day-to-day functioning and upkeep of the Gaushala.
Responsibilities will include:
Animal Care
- Ensure timely feeding and watering of cows and other animals.
- Maintain proper feeding schedules and ensure that animals receive adequate and appropriate feed.
- Monitor the quality, quantity, storage, and availability of animal feed.
- Ensure that feed and fodder are clean, fresh, and suitable for the animals.
- Monitor the general health and condition of the animals on a daily basis.
- Identify signs of illness, injury, weakness, or abnormal behaviour and promptly inform management.
- Coordinate with veterinarians or animal-care professionals whenever required.
- Ensure timely administration of prescribed medicines, supplements, or other veterinary requirements under appropriate guidance.
Cleanliness & Hygiene
- Ensure timely and regular cleaning of the Gaushala and animal areas.
- Maintain proper hygiene, sanitation, drainage, and waste-management practices.
- Ensure that feeding and watering areas remain clean.
- Monitor the overall condition of the Gaushala premises and report any maintenance requirements.
Milk Management
- Supervise and maintain proper records relating to milk production, collection, and distribution, as applicable.
- Ensure hygienic practices during milking and handling of milk.
- Monitor the general quality and cleanliness of milk.
- Maintain appropriate records of milk-related activities and requirements.
Gaushala Operations
- Maintain records relating to animals, feeding, veterinary care, medicines, milk, and other relevant activities.
- Ensure that animals are properly cared for according to the Ashram's established practices.
- Coordinate procurement of fodder, feed, medicines, and other Gaushala requirements.
- Coordinate with veterinarians, animal-care workers, suppliers, and other service providers whenever required.
- Immediately report any serious illness, injury, emergency, or unusual condition involving an animal.
- Take responsibility for ensuring that the daily Gaushala routine is carried out consistently and without negligence.
The candidate must understand that Gaushala management is not an occasional or secondary duty. It is an integral and important part of this residential position.
3. Facility Management
- Oversee the general upkeep and cleanliness of the Ashram premises.
- Monitor day-to-day functioning of utilities and infrastructure.
- Coordinate with electricians, plumbers, technicians, and service providers whenever required.
- Maintain records of maintenance activities and repairs.
- Identify maintenance requirements and ensure timely action.
- Assist management in maintaining the overall condition of the Ashram premises.
4. Utility & Infrastructure Monitoring
Monitor and coordinate the maintenance and functioning of:
- DG Set
- CCTV Systems
- Inverters and Batteries
- Water Pumps
- Motors
- Lighting Systems
- Water Supply Systems
- General Ashram Infrastructure
Responsibilities include:
- Identify breakdowns and arrange timely repairs through external vendors.
- Coordinate with technicians and service providers.
- Maintain basic records of repairs and maintenance.
- Ensure uninterrupted functioning of essential services within the Ashram.
5. General Responsibilities
- Assist in procurement and local market purchases when required.
- Coordinate with vendors and service agencies.
- Maintain proper records of purchases and expenses.
- Ensure safety, security, cleanliness, and discipline within the premises.
- Be available for handling urgent maintenance or operational requirements.
- Assist management with other reasonable day-to-day operational responsibilities related to the Ashram and Gaushala.
Educational Qualification
Minimum Requirement
- 12th Pass (Higher Secondary) + Graduation
Preferred
- Basic knowledge of Tally and accounting entries.
- Diploma, ITI, or technical background will be an added advantage.
- Previous experience in Gaushala, animal care, farm management, facility management, residential campuses, hostels, or similar environments will be an advantage.
Skills Required
- Basic knowledge of Tally ERP.
- Ability to perform routine accounting entries.
- Basic computer knowledge including MS Office, Email, and WhatsApp.
- Basic understanding of maintenance and facility management.
- Ability to coordinate with vendors and technicians.
- Ability to monitor utilities and infrastructure.
- Ability to maintain records and documentation.
- Basic understanding of animal care, feeding, hygiene, and health monitoring will be highly desirable.
- Good communication and coordination skills.
- Ability to work independently and take ownership of responsibilities.
Experience
- Freshers may apply.
- Candidates with experience in administration, accounts, facility management, residential campuses, schools, hostels, religious institutions, Ashrams, Gaushalas, farms, or similar environments will be preferred.
Additional Requirements
- Must know how to ride a motorcycle/scooter and possess a valid driving licence.
- Should be physically fit and willing to handle day-to-day operational responsibilities, including Gaushala-related duties.
- Must be willing to reside within the Ashram premises.
- Must be willing to participate in and supervise the daily Gaushala routine.
- Must be comfortable working in an environment involving animals, cleaning, feeding, maintenance, and outdoor operational activities.

Probation & Tenure / Document Security
Probation Period
The selected candidate will initially be appointed for a 3-month probation period. During this period, the candidate's performance, conduct, discipline, reliability, work quality, suitability for Ashram life, and ability to handle the responsibilities of the position will be evaluated.
One-Year Tenure & Original Document Deposit
Upon successful completion of the 3-month probation period, the employment may be continued for a one-year tenure, subject to satisfactory performance and mutual agreement.
As part of the Ashram's security and verification process, the candidate may be required to submit original educational qualification certificates/documents for safekeeping during the one-year tenure, against a written acknowledgement/receipt.
The documents shall be securely maintained by the Ashram and returned to the candidate upon completion or termination of the applicable tenure, subject to the terms agreed upon at the time of appointment.
The specific list of documents, period of custody, conditions of safekeeping, and return procedure shall be clearly documented in writing at the time of appointment.
Important Conditions
- This is a residential position; accommodation and food will be provided by the Ashram.
- Consumption, possession, or use of alcohol, liquor, tobacco, smoking products, intoxicants, drugs, or non-vegetarian food is strictly prohibited within the Ashram premises.
- The candidate must maintain a lifestyle aligned with the spiritual and cultural values of the Ashram.
- The candidate must follow the Ashram's rules regarding discipline, cleanliness, conduct, timings, and daily routine.
- Gaushala care and management is an integral and important responsibility of the position and cannot be treated as an optional or occasional duty.
- Background verification and reference checks may be conducted before appointment.
- The candidate must be willing to undertake reasonable operational duties required for the proper functioning of the Ashram and Gaushala.

Preference
Candidates who are comfortable with Ashram life, spiritual environments, residential responsibilities, animal care, and Gaushala management will be preferred.
Candidates should apply only if they are genuinely comfortable taking responsibility for the daily functioning of both the Ashram and the Gaushala.
One important point: I deliberately changed the document clause from simply saying “all original educational certificates shall be with us for one year as security” to a written acknowledgement/safekeeping arrangement. That's much cleaner for an employment JD and avoids ambiguity about exactly which documents are being held and under what conditions.
