Automotive Service Advisor

Job Summary

The Automobile Service Advisor acts as the primary liaison between customers and the automotive service department. This role is responsible for greeting customers, listening to their vehicle concerns, diagnosing initial service needs, and translating those needs into detailed work orders for automotive technicians. The ideal candidate will possess excellent communication skills, a strong understanding of automotive mechanics, and a commitment to delivering outstanding customer service while meeting sales goals for maintenance and repair services.

Key Responsibilities

• Customer Intake and Consultation: Greet customers promptly and professionally. Listen to their descriptions of vehicle symptoms, document their concerns accurately, and conduct initial vehicle inspections.
• Service Recommendation and Sales: Advise customers on necessary maintenance schedules and additional repair services based on vehicle manufacturer recommendations and technician findings. Provide clear explanations of the benefits of these services.
• Cost Estimation and Scheduling: Prepare accurate cost estimates for parts and labor. Obtain customer authorization before initiating any repair work. Schedule service appointments and manage the daily workflow to ensure timely vehicle turnaround.
• Liaison Between Customer and Technicians: Translate customer descriptions into clear instructions for automotive technicians. Consult with technicians throughout the day to get updates on repair statuses or unexpected issues.
• Progress Updates and Communication: Maintain regular communication with customers to provide updates on their vehicle’s status, explain any changes in the repair scope or cost, and notify them when the vehicle is ready for pickup.
• Final Review and Billing: Review completed work orders with customers, explain the repairs performed, break down the final invoice charges, and process payments. Ensure customer satisfaction before vehicle release.
• Compliance and Record-Keeping: Maintain detailed and accurate records of all customer interactions, vehicle diagnostics, service recommendations, and transactions in the dealership or shop management system. Adhere to all safety regulations and company policies.

Skills and Qualifications

• High school diploma or equivalent; an associate degree or technical certification in automotive technology is a plus.
• Proven experience as a service advisor, service writer, or in a similar customer-facing role within the automotive industry.
• Strong knowledge of automotive mechanics, systems, and routine maintenance intervals.
• Excellent interpersonal, verbal, and written communication skills.
• Proficiency with automotive shop management software (e.g., Reynolds & Reynolds, CDK Global, or similar DMS) and basic computer applications.
• Strong problem-solving abilities and the capacity to handle stressful customer situations calmly and professionally.
• Valid driver’s license and a clean driving record.
