Order Processing Specialist

An order processing executive manages incoming customer purchases from entry to final shipment. 

Key Responsibilities

• Order Entry and Verification: Receive and input purchase details, prices, and customer information accurately into the company's software.
• Inventory Coordination: Check stock levels to confirm product availability before fulfilling requests.
• Shipping and Logistics: Work with the warehouse team to ensure goods are picked, packed, and labeled correctly for on-time delivery.
• Customer Support: Answer buyer questions regarding delivery times, tracking, and order status.
• Issue Resolution: Handle returns, order cancellations, and payment discrepancies quickly. 

Receiving Inventory

• Unload incoming goods from suppliers or manufacturers.
• Inspect items for damage and verify quantities match the purchase order.
• Log the items into the inventory management system. 

2. Storing Inventory

• Move goods to short- or long-term storage in the warehouse.
• Organize products logically—often placing fast-moving items in easily accessible locations
• Label products with barcodes or tags for fast tracking. 

3. Processing Orders

• Begin when a customer places an order online or in-store.
• Verify payment confirmation and check real-time stock availability.
• Generate a digital packing slip for the warehouse. 

4. Picking

• Workers or warehouse robots use the packing slip to locate items.
• Retrieve the correct sizes, colors, and quantities from shelves.
• Use barcode scanners to reduce human error. 

5. Packing

• Select appropriate boxes, mailers, and padding (like bubble wrap) to protect goods.
• Keep package weight and size as low as possible to reduce shipping costs.
• Seal the box and apply the shipping label. 

6. Shipping

• Hand off the packed boxes to a logistics carrier (like a postal service or freight line).
• Provide tracking information to the customer.
• Dispatch the shipment on a transport vehicle. 

7. Processing Returns

• Handle items sent back by customers due to size, defects, or preference.
• Inspect returned goods to see if they can be restocked.
• Issue refunds or exchanges and update inventory logs.

Responsibilities for order processing

• Detail oriented, capable of following complex procedures which require tracking of pending items for timely follow-up, use of multiple systems, and an ability to troubleshoot one's own problems and determine necessary course of action(s) to resolve
• Finance and Accounting experience strongly desired
• Colocation, interconnection, and telecommunications knowledge a plus
• Performs special projects like launch execution where consolidation is required, , other duties and tasks as directed
• Manage the order book, ensuring it accurately reflects the orders outstanding
• May utilize and/or operate material moving equipment, carts
• Work overtime, weekends, and holiday, as work schedules require
• Maintain major or key account files according to established procedures
• Process all requests for return authorization labels and coordination with transportation for pickup
• Organize and oversee special projects, as required, which may or may not be order related

Qualifications for order processing

• Validating, processing and monitoring of all sales orders
• First point of contact, via telephone/ email
• Helping with warehouse duties once a week
• Ensuring proactive communication via Customer Associates resolving inquiries from internal OTC teams
• Monitor daily incoming sales orders and analyse and resolve order issues
• Ensure proactive communication to customer via Customer Associate for order issues
