Purchase Executive

Job Description / Responsibilities

• Manage end-to-end procurement of HVAC, MEP, electrical, mechanical and project-related materials as per approved BOQ, specifications and project requirements.

• Source and identify reliable vendors, manufacturers and suppliers for HVAC/MEP equipment, materials, spares and consumables.

• Obtain and compare quotations, prepare comparative statements and negotiate prices, payment terms, delivery schedules and other commercial conditions.

• Issue purchase orders/work orders after obtaining required internal approvals and ensure orders are placed within project timelines.

• Coordinate with Project, Design, Stores and Accounts teams to understand material requirements, specifications, quantities and delivery priorities.

• Follow up with vendors for order acknowledgement, manufacturing/procurement status, dispatch and timely delivery at project sites.

• Evaluate vendor offers for technical compliance, specifications, make/brand requirements, warranty and commercial terms in coordination with the technical team.

• Maintain vendor database, quotation records, comparative statements, purchase orders and procurement status reports.

• Identify alternative vendors/materials and negotiate cost-effective solutions without compromising approved specifications and quality.

• Coordinate inspection, testing, documentation and receipt of materials, including OEM/TPI requirements wherever applicable.

• Monitor pending purchase orders and take corrective action for delayed deliveries, shortages, quality issues or discrepancies.

• Support management in cost control, rate analysis, procurement planning and maintaining project budgets.

• Develop and maintain long-term vendor relationships and continuously identify new suppliers and competitive sources.

• Ensure procurement documentation and processes are maintained properly and in accordance with company procedures.

Key Skills

• Strong negotiation and vendor management skills.

• Good knowledge of HVAC/MEP materials, equipment and engineering procurement.

• Ability to read BOQs, technical specifications, datasheets and basic drawings.

• Good communication, coordination and follow-up skills.

• Strong MS Excel and MS Office skills; ability to prepare comparative statements and procurement reports.

• Commercial awareness, cost-control orientation and attention to detail.

• Good interpersonal skills and ability to coordinate with multiple departments and project teams.
