We are looking for an experienced and hands-on HR, Administration & Welfare Executive to manage and support HR operations, employee welfare, administration, compliance, and workforce-related activities at our textile manufacturing facility.
The role requires strong experience in handling blue-collar and white-collar employees, shop-floor HR, attendance, payroll coordination, employee relations, statutory compliance, recruitment, administration, and employee welfare initiatives.
The ideal candidate should be highly organized, proactive, approachable, and capable of independently managing day-to-day HR and administrative operations in a fast-paced manufacturing environment.
- Key Responsibilities1. HR OperationsManage day-to-day HR operations for the manufacturing unit.
- Maintain employee records, personnel files, HR registers, and documentation.
- Manage the complete employee lifecycle, including joining, onboarding, confirmation, transfers, promotions, and separation.
- Ensure timely issuance of appointment letters, confirmation letters, ID cards, and other HR documentation.
- Maintain accurate employee data in the HRMS and other HR records.
- Ensure implementation of HR policies, procedures, and SOPs.
- 2. Attendance, Leave & Workforce ManagementMonitor daily attendance, late coming, absenteeism, and employee movement.
- Ensure accurate maintenance of leave and attendance records.
- Coordinate with department heads and supervisors regarding manpower requirements and absenteeism.
- Monitor and validate overtime records and approvals.
- Identify attendance and workforce-related issues and recommend corrective actions.
- Prepare attendance and overtime inputs for monthly payroll.
- 3. Payroll & HRMS CoordinationPrepare and verify monthly payroll inputs, including attendance, leave, overtime, incentives, deductions, new joiners, and exits.
- Coordinate with Finance/Accounts for timely and accurate salary processing.
- Resolve employee queries related to salary, attendance, deductions, and leave balances.
- Ensure proper reconciliation between attendance records and payroll.
- Maintain accurate employee data and records in the HRMS.
- Support implementation and improvement of HRMS processes.
- 4. Recruitment & Manpower PlanningManage recruitment for factory, production, support, and corporate positions.
- Coordinate with department heads to understand manpower requirements.
- Source and screen candidates through job portals, references, consultants, and other channels.
- Conduct preliminary interviews and coordinate final interviews.
- Manage joining formalities and onboarding.
- Maintain recruitment trackers and monitor recruitment turnaround time.
- Support manpower planning based on production requirements.
- 5. Employee Relations & Grievance HandlingAct as a point of contact for employee concerns and grievances.
- Maintain regular interaction with employees and supervisors.
- Conduct shop-floor rounds to understand employee concerns and workplace issues.
- Investigate employee grievances and coordinate appropriate resolutions.
- Handle disciplinary matters in accordance with company policies and applicable laws.
- Maintain proper documentation of warnings, disciplinary actions, grievances, and resolutions.
- Promote a positive and respectful workplace environment.
- 6. Employee WelfarePlan and implement employee welfare initiatives for factory and office employees.
- Ensure availability and proper maintenance of welfare facilities.
- Monitor employee facilities such as drinking water, sanitation, canteen/food arrangements, rest areas, first-aid facilities, and other welfare provisions.
- Coordinate employee welfare activities, celebrations, engagement programs, and recognition initiatives.
- Identify welfare-related concerns and recommend improvements to management.
- Support employee assistance initiatives during emergencies or special circumstances.
- Maintain appropriate welfare records and documentation.
- 7. Statutory Compliance & Labour LawAssist in ensuring compliance with applicable labour laws and statutory requirements.
- Coordinate PF, ESI, LWF, gratuity, bonus, minimum wages, and other applicable statutory processes.
- Maintain statutory registers, records, employee declarations, and required documentation.
- Coordinate with external consultants and government authorities when required.
- Monitor compliance requirements applicable to the manufacturing facility.
- Support internal and external labour/compliance audits.
- Ensure timely submission of statutory information and documentation.
- 8. AdministrationManage day-to-day administrative activities of the office and manufacturing facility.
- Coordinate housekeeping, security, transportation, canteen, maintenance, and other facility-related services.
- Monitor attendance and performance of outsourced manpower and service providers.
- Coordinate with vendors and contractors for administrative requirements.
- Support procurement of office and facility-related requirements.
- Maintain administrative records, vendor documentation, contracts, and service agreements.
- Ensure proper workplace discipline, cleanliness, safety, and general upkeep.
- 9. Health, Safety & Workplace WelfareCoordinate with relevant teams to maintain a safe and healthy working environment.
- Support implementation of workplace safety policies and procedures.
- Coordinate safety awareness sessions, training, and employee communication.
- Ensure first-aid arrangements and emergency preparedness.
- Escalate workplace hazards, incidents, and safety concerns to management.
- Support statutory and internal safety inspections.
- 10. Employee Engagement & TrainingPlan and coordinate employee engagement activities.
- Organize induction and orientation programs for new employees.
- Coordinate HR policy awareness and employee communication sessions.
- Support training and development programs.
- Assist in organizing employee recognition, rewards, celebrations, and welfare events.
- Collect employee feedback and identify areas for improvement.
- 11. POSH & Workplace ConductSupport implementation of the company's POSH policy and awareness initiatives.
- Coordinate POSH training and awareness sessions as required.
- Maintain appropriate documentation and confidentiality concerning workplace complaints.
- Promote professional workplace behaviour and awareness of company policies.
12. HR MIS & Management Reporting Prepare and maintain regular HR and administrative MIS reports, including:
- Headcount and manpower status
- Attendance and absenteeism
- Overtime
- Employee turnover/attrition
- Recruitment status
- Leave utilization
- Payroll inputs
- Employee movement
- Statutory compliance status
- Welfare activities
- Training and engagement activities
- Administrative expenses and vendor status
Provide timely reports and analysis to management and highlight key HR/administrative issues requiring attention.
- Key Skills & CompetenciesStrong knowledge of HR operations and employee lifecycle management.
- Good understanding of labour laws and statutory compliance.
- Strong experience in handling blue-collar/manufacturing workforce.
- Excellent employee relations and grievance-handling skills.
- Strong knowledge of attendance, leave, payroll, and overtime processes.
- Good administrative and facility-management skills.
- Strong communication and interpersonal skills.
- Good Excel, MIS, and HRMS knowledge.

- Ability to work independently and manage multiple priorities.
- Qualification: MBA/PGDM in Human Resources preferred.
- Graduate in any discipline with relevant HR experience may also be considered.
- Experience: 5–8 years of relevant HR experience.
- Prior experience in textile, garment, apparel, fashion, manufacturing, or factory environments is strongly preferred.
- Experience managing both blue-collar and white-collar employees will be an advantage.
- Candidates with hands-on experience in HR, administration, employee welfare, and labour compliance will be preferred.

Ideal Candidate ProfileThe ideal candidate should be a hands-on HR professional with strong manufacturing exposure who can independently manage HR, administration, and employee welfare activities.
The candidate should be comfortable working on the shop floor, interacting directly with workers and supervisors, resolving employee concerns, coordinating with management, and ensuring that HR and welfare processes are implemented effectively.
Experience in textile/garment/couture manufacturing will be strongly preferred.
