### **Position Summary**

We are looking for a proactive, detail-oriented, and experienced **Facility Manager** to oversee the efficient and safe operation of our buildings, offices, and infrastructure. The ideal candidate will manage day-to-day hard and soft facility services, vendor contracts, routine maintenance, health and safety compliance, and asset tracking to ensure a secure, productive, and well-maintained working environment.

### **Key Responsibilities & Core Duties**

#### **1. Maintenance & Operations Management (Hard & Soft FM)**

• Oversee and manage all building infrastructure systems, including HVAC, electrical, plumbing, lighting, and life-safety systems.

• Implement and manage preventive maintenance schedules to extend asset life and minimize unexpected downtime.

• Coordinate routine repairs, building upkeep, and general maintenance requests.

• Manage soft services such as housekeeping, janitorial services, security, pest control, and office supplies.

#### **2. Vendor & Contract Management**

• Source, negotiate, and manage contracts with external third-party vendors, service providers, and contractors.

• Monitor vendor performance against Service Level Agreements (SLAs) and inspect completed work for quality assurance.

• Process and track service invoices, maintenance work orders, and purchase records.

#### **3. Health, Safety, and Regulatory Compliance**

• Ensure full compliance with local building codes, fire safety codes, environmental regulations, and occupational health and safety standards.

• Conduct regular safety audits, risk evaluations, and facility inspections.

• Maintain and execute emergency evacuation procedures, disaster recovery protocols, and business continuity plans.

#### **4. Space Planning & Asset Management**

• Analyze space utilization and coordinate office layouts, workstation setups, seating reconfigurations, or office relocations.

• Maintain comprehensive asset logs, property inventories, and equipment records.

#### **5. Financial & Budget Management**

• Assist in developing and managing the annual facilities operating and capital expenditure budgets.

• Monitor monthly expenditures, control utility and maintenance costs, and identify cost-saving efficiencies.

### **Qualifications & Requirements**

• **Education:** Bachelor’s Degree in Facilities Management, Business Administration, Civil Engineering, Property Management, or a related field.

• **Experience:** 3 to 6+ years of proven experience in facilities management, commercial property operations, or corporate administrative infrastructure.

• **Technical Skills:**

• Strong working knowledge of building services (HVAC, electrical panels, plumbing, and fire safety systems).

• Familiarity with Computerized Maintenance Management Systems (CMMS) or facility tracking software.

• Proficient in Microsoft Office Suite / Google Workspace (Spreadsheets, Docs) for tracking logs, asset reports, and budgets.

• **Soft Skills:**

• Exceptional problem-solving abilities and calm decision-making during operational emergencies.

• Strong vendor negotiation and interpersonal communication skills.

• High attention to detail and strong organizational focus.
