Role Overview
The Accounts & Finance Manager will be responsible for managing the end-to-end Accounts & Finance function of SpinCare.
This is a hands-on role. The person should be comfortable working at both levels — reviewing individual transactions and simultaneously maintaining complete financial control over the organization.
The Manager will lead one Accounts Executive and ensure that all financial transactions across the Corporate Office, Stores and Central Processing Unit are properly recorded, reconciled, documented, verified and reported.
A major responsibility will also be to establish and enforce strong accounting and financial processes at the store level.
Key Responsibilities
1. End-to-End Accounting
- Take complete ownership of day-to-day accounting activities of SpinCare.
- Ensure timely and accurate entry of all transactions in Tally.
- Maintain ledgers, journals, cash books, bank books, purchase records, sales records and expense accounts.
- Ensure proper accounting classification of all transactions.
- Review accounting entries made by the Accounts Executive.
- Ensure that books of accounts are updated on a daily basis.
- Maintain proper supporting documents, bills, invoices, vouchers and approvals.
- Ensure completeness and accuracy of accounting records.
2. Store-Level Accounting & Financial Control
A critical part of this position will be maintaining financial control across all SpinCare stores.
Responsibilities include:
- Monitor daily financial transactions of every store.
- Verify store-wise sales and collections.
- Monitor cash, UPI, card and other payment collections.
- Reconcile store sales with actual collections.
- Verify discounts, refunds, cancellations, adjustments and outstanding amounts.
- Monitor store expenses and petty cash.
- Ensure all store transactions are properly recorded.
- Identify discrepancies and immediately investigate them.
- Maintain store-wise financial records and reconciliation.
- Ensure store teams follow the prescribed accounting processes.
The Manager should have visibility of what money was collected, through which mode, where it was deposited and whether it has been correctly accounted for.
3. Store Cash Collection & Reconciliation
- Monitor daily cash collections from all stores.
- Ensure collected cash is deposited/handed over as per company policy.
- Reconcile physical cash collections against system/accounting records.
- Track pending cash deposits from stores.
- Investigate cash shortages, excess collections or discrepancies.
- Maintain proper documentation of cash movement.
- Establish strong cash-handling controls across stores.
- Escalate unusual or suspicious transactions to Management immediately.
4. Store Transaction Audit
- Conduct regular audits of store-level financial transactions.
- Verify sales, receipts, expenses, discounts, refunds and cash collections.
- Conduct random checks to identify accounting or process violations.
- Review supporting bills and vouchers for store expenses.
- Identify leakage, incorrect entries, unauthorized expenses or financial irregularities.
- Prepare store audit observations and corrective action reports.
- Follow up with Store Managers / Area Managers until discrepancies are resolved.
- Implement preventive controls to reduce future errors and financial leakage.
5. Accounts Process Implementation
The Accounts & Finance Manager will be responsible for developing and strengthening SpinCare's accounting processes.
This includes:
- Design and implement SOPs for store-level accounting.
- Establish daily cash reporting processes.
- Establish expense approval processes.
- Define petty cash procedures.
- Implement bill and voucher documentation processes.
- Establish reconciliation procedures.
- Define financial authority and approval mechanisms.
- Create checks and controls to minimize financial leakage.
- Train Store Managers and relevant employees on finance processes.
- Regularly audit compliance with established SOPs.
The objective is to create a financial system where every rupee collected or spent is properly accounted for.
6. Bank & Payment Reconciliation
- Perform regular bank reconciliations.
- Reconcile UPI, payment gateway, card and other digital collections.
- Monitor deposits from different stores.
- Identify unmatched transactions.
- Follow up on payment discrepancies.
- Ensure all bank transactions are correctly reflected in Tally.
- Maintain proper records of company bank accounts.
7. Accounts Receivable & Payable
Receivables
- Monitor outstanding customer and corporate receivables.
- Maintain ageing reports.
- Coordinate with concerned teams for collection of overdue amounts.
- Ensure receipts are properly adjusted against invoices.
Payables
- Verify vendor invoices and supporting documents.
- Ensure proper approval before payment.
- Maintain vendor ledgers.
- Prepare payment schedules.
- Monitor outstanding vendor payments.
- Ensure payments are made as per approved terms and company cash-flow priorities.
8. GST & Statutory Compliance Support
- Maintain GST-compliant accounting records.
- Prepare accurate GST-related data and reconciliations.
- Ensure sales and purchase records are properly maintained.
- Provide complete GST data to the company's Auditor/CA within prescribed timelines.
- Coordinate with the Auditor/CA for GST return preparation and filing.
- Resolve accounting discrepancies identified during GST reconciliation.
- Maintain documentation required for statutory compliance.
- Ensure compliance-related data is never delayed due to incomplete internal accounting.
9. TDS & Other Statutory Accounting
- Maintain records relating to TDS and other applicable statutory deductions.
- Prepare required data for the Auditor/CA.
- Ensure proper deduction and accounting wherever applicable.
- Maintain necessary supporting documentation.
- Coordinate with the Auditor/CA for timely statutory filings and compliance.
10. Month-End Closing
The Accounts & Finance Manager will be responsible for ensuring timely monthly closure of accounts.
This includes:
- Completing all pending accounting entries.
- Bank reconciliation.
- Store reconciliation.
- Cash reconciliation.
- Vendor reconciliation.
- Customer receivable reconciliation.
- Expense verification.
- Provision entries wherever required.
- Review of outstanding balances.
- Ledger scrutiny.
- Identification and correction of accounting errors.
Monthly accounts should provide Management with a clear picture of the company's financial performance.
11. MIS & Management Reporting
Prepare regular financial MIS for Management including:
- Monthly Revenue
- Store-wise Revenue
- Store-wise Collections
- Store-wise Expenses
- Corporate Expenses
- Outstanding Receivables
- Outstanding Payables
- Cash & Bank Position
- Expense Analysis
- Budget vs Actual where applicable
- Monthly Profit & Loss
- Store-wise financial performance
- Cash-flow position
The Manager should be able to convert accounting information into clear business information for Management decision-making.
12. Cash Flow & Financial Planning
- Monitor the company's daily and monthly cash position.
- Prepare short-term cash-flow forecasts.
- Plan upcoming vendor, salary, rent and statutory payments.
- Highlight potential cash-flow shortages in advance.
- Support Management in prioritizing financial commitments.
- Monitor major expenses and identify opportunities for cost control.
13. Cost Control & Expense Monitoring
- Monitor expenses across stores, plant and corporate office.
- Identify unusual or excessive expenses.
- Compare expenses across locations.
- Highlight areas of potential cost reduction.
- Prevent unauthorized or unsupported expenses.
- Help Management improve financial efficiency without affecting business operations.
14. Audit & Finalisation of Accounts
- Coordinate with the company's Auditor / Chartered Accountant for periodic and annual accounts.
- Prepare all schedules, reconciliations and supporting documents required for audit.
- Respond to queries raised by the Auditor/CA.
- Resolve ledger discrepancies before finalisation.
- Assist with preparation and finalisation of Profit & Loss Account and Balance Sheet.
- Ensure all accounting records are complete before year-end closing.
- Coordinate until the annual accounts are successfully finalized.
15. Documentation & Financial Discipline
- Ensure every financial transaction has appropriate supporting documentation.
- Maintain systematic digital and physical financial records.
- Ensure invoices, bills, vouchers and approvals are easily traceable.
- Maintain confidentiality of company financial information.
- Ensure compliance with financial approval authority defined by Management.
16. Team Management
The Accounts & Finance Manager will have one Accounts Executive reporting to him/her.
Responsibilities include:
- Allocate daily accounting responsibilities.
- Review work completed by the Accounts Executive.
- Train and develop the team member.
- Establish daily and monthly closing checklists.
- Ensure deadlines are consistently met.
- Maintain accuracy and accountability within the department.
- Build processes that reduce dependency on individuals.

Candidate Requirements
Education
Required:
- B.Com / M.Com
Preferred:
- CA Inter / CMA Inter / MBA Finance or equivalent professional accounting qualification.
A Chartered Accountant qualification is not mandatory provided the candidate has strong practical accounting experience.
Experience
- 5–10 years of relevant experience in Accounts & Finance.
- Minimum 2–3 years in a senior accountant / accounts manager / finance manager capacity preferred.
- Experience independently handling books of accounts is essential.
- Experience in multi-location retail, service, QSR, franchise, logistics or similar businesses will be highly preferred.
- Must have practical experience coordinating with CA/Auditors for GST, taxation and finalisation of accounts.
- Experience managing junior accounting staff will be preferred.
