Ecommerce Catalog Manager

1. Job Summary

The Ecommerce Order Fulfillment Executive is responsible for managing the complete order fulfillment process, from order receipt to dispatch and delivery coordination. The role ensures accurate order processing, timely packing, inventory coordination, shipment tracking, and smooth coordination with logistics partners to achieve high customer satisfaction.

Key Responsibilities

A. Order Processing & Management

Receive and process customer orders from ecommerce platforms.

Manage orders received through Amazon, Flipkart, Shopify, Myntra, and other marketplaces.

Verify order details, product availability, SKU, quantity, and shipping addresses.

Ensure timely processing of new, pending, and priority orders.

Monitor order status and resolve order processing issues.

Ensure all orders are processed within the defined SLA/TAT.

B. Picking, Packing & Dispatch

Coordinate with warehouse teams for order picking, packing, and dispatch.

Ensure correct SKU, product, and quantity before packing.

Verify product quality and packaging standards before dispatch.

Generate shipping labels, invoices, and other dispatch documents.

Ensure orders are packed securely to prevent damage during transit.

Monitor daily dispatch activities and ensure timely courier handover.

C. Inventory Management & Coordination

Monitor stock availability across ecommerce marketplaces and sales channels.

Coordinate with warehouse teams for inventory updates and replenishment.

Identify stock discrepancies, damaged products, and out-of-stock situations.

Ensure accurate inventory synchronization across ecommerce platforms.

Support periodic stock audits and inventory reconciliation.

Coordinate with the procurement team for stock availability when required.

D. Logistics & Shipment Management

Coordinate with courier partners such as Delhivery, Blue Dart, Xpressbees, Ecom Express, and Amazon Shipping.

Schedule and monitor daily shipment pickups.

Track shipments and monitor delivery status.

Follow up on delayed, lost, and undelivered shipments.

Manage NDR (Non-Delivery Report) and RTO (Return to Origin) cases.

Coordinate with logistics partners to resolve shipment-related issues.

E. Returns & Reverse Logistics

Monitor customer returns, replacements, and exchange orders.

Coordinate return shipment tracking and product receipt.

Ensure returned products undergo proper quality inspection.

Update returned inventory in the system after verification.

Track return reasons and identify recurring product or operational issues.

Coordinate with customer service and finance teams for refund and replacement updates.

F. MIS & Performance Reporting

Prepare daily order processing and dispatch reports.

Maintain records of pending, processed, dispatched, and cancelled orders.

Track order fulfillment rate and dispatch SLA performance.

Prepare inventory, returns, RTO, and shipment reports.

Monitor operational issues and escalate exceptions to the reporting manager.

Maintain accurate operational data and documentation.
