Job Summary:

The Operations Executive is responsible for overseeing the daily operations of car rentals, ensuring vehicles are allocated, dispatched, and returned in a timely and efficient manner. This role involves coordination with drivers, clients, and internal departments to maintain high service standards, reduce operational delays, and optimize fleet utilization.

Key Responsibilities:

• Vehicle Dispatch & Coordination:
• Allocate and dispatch vehicles as per booking requirements, ensuring timely pickup and delivery of cars.
• Driver Management:
• Coordinate with drivers regarding assignments, shift schedules, and route planning; monitor driver attendance and discipline.
• Fleet Monitoring:
• Track vehicle movement using GPS and manual logs, ensure timely returns, and manage vehicle availability status.
• Operational Support:
• Act as a bridge between reservations, billing, and maintenance teams to ensure smooth execution of each booking.
• Documentation & Record Keeping:
• Maintain updated logs of car usage, fuel slips, duty slips, maintenance records, and any incident reports.
• Issue Resolution:
• Respond promptly to any operational issues, such as vehicle breakdowns, delays, or customer complaints, and escalate when necessary.
• Quality Control:
• Ensure vehicles are clean, well-maintained, and meet customer expectations before every assignment.
• Inventory & Resource Management:
• Monitor consumables like fuel, toll slips, and accessories; manage keys, documents, and RC/PUC files.
• Vendor Coordination:
• Liaise with external vendors for repairs, maintenance, insurance renewals, and servicing schedules.
• Reporting:
• Submit daily and weekly reports on fleet status, vehicle usage, breakdowns, and customer satisfaction metrics.

Qualifications & Skills Required:

• Education:
• Bachelor’s degree or diploma in Business Administration, Logistics, or a related field preferred.
• Experience:
• Minimum 2-3 years in fleet management, logistics, or operations—preferably in the car rental, transport, or hospitality industry.
• Technical Skills:
• Proficiency in MS Excel, Google Sheets, and fleet management software; working knowledge of GPS and tracking tools.
• Communication:
• Strong interpersonal skills with the ability to communicate effectively in Bengali, English, and Hindi.
• Problem Solving:
• Ability to handle operational challenges and customer issues calmly and efficiently.
• Time Management:
• Strong organizational skills to manage multiple tasks in a fast-paced environment.
• Adaptability:
• Willingness to work under pressure and during odd hours, especially during peak periods or urgent bookings.

• Rotational Shifts:
• Must be available for rotational duty, including early mornings, late evenings, weekends, and public holidays.
• Availability:
• Flexibility to respond to operational emergencies and last-minute changes.
