Operations Executive

About the role
Advito Global is a marketing and business growth company working with automotive dealerships, real estate developers and hospitality brands. We are hiring an Operations Executive to run the delivery side of the business. You will be the single person who knows what is running, who owns it, when it is due and what is blocking it.

This is the single most important requirement for this role, and we screen for it first.
• You will be on calls with dealership owners, developers and senior client contacts. Your spoken English must be fluent, clear and confident, with correct grammar and no hesitation
• You will author the monthly client report that goes out under our name. Your written English must be precise, professional and free of errors
• You will represent Advito Global in writing every single day across email and client correspondence. Clients will judge us on how you write
• Conversational or working level English is not sufficient for this role. We need excellent
• Applications will be assessed on the quality of English in your CV and covering note. Shortlisted candidates will be assessed on spoken English in the first telephonic round, before any other criteria are considered
• Kannada and Hindi alongside excellent English are a strong advantage, as many of our clients and most of our vendors operate in Kannada
Key Responsibility Area 1: Task and workflow management
• Own the central task board. Break client work into tasks, assign owners, set due dates and keep status current daily
• Run the daily stand up and the weekly planning review
• Track team capacity so we commit only to timelines we can meet, and flag early when we cannot
• Chase blockers to closure and escalate the ones that need a decision
• Maintain the delivery calendar so campaign dates, shoot dates and publishing dates never collide
• Document processes so that how we work survives beyond the person who did it last
Key Responsibility Area 2: Client management and reporting
• Act as the coordination point of contact for assigned accounts
• Acknowledge client requests quickly, confirm what is being done and by when, and close the loop
• Own the monthly client report end to end: collect inputs, verify numbers, write the narrative, deliver on schedule
• Attend monthly review calls, take minutes and convert them into tracked tasks
• Track every commitment made to a client so nothing promised on a call disappears
• Raise delays and issues with the client before the client raises them with us
• Maintain accurate account records covering scope, deliverables, contacts, billing and renewal dates
Key Responsibility Area 3: Vendor management
• Source and shortlist vendors across printing, production, fabrication, equipment hire and freelance talent
• Negotiate rates and terms, holding a comparison of at least two quotes on anything material
• Raise purchase requests, track deliveries and verify that what arrived matches what was ordered
• Manage vendor timelines so client deadlines never depend on an unconfirmed promise
• Coordinate with accounts on vendor invoices, payment schedules and documentation
• Maintain a live vendor directory with rates, lead times, quality notes and reliability history
Requirements
• Minimum 2 years in operations, project coordination, account management, client servicing or a similar delivery facing role
• Agency, media or services background preferred
• Excellent spoken and written English, as detailed above
• Organised by instinct. Trackers, lists and follow ups are how you naturally work
• Comfortable with numbers. You can read a report and query a figure that looks wrong before a client does
• Confident with Google Sheets or Excel and at least one task management tool such as Trello, Asana, ClickUp, Notion or Jira

• When something is yours, it stays yours until it is done. You chase it, escalate it and do not wait to be reminded
• You are comfortable telling a colleague or a vendor that something is late
• Where process is missing, you build it rather than wait for it
• You bring problems to your manager with a proposed solution attached
• You are comfortable in a small team where priorities change
