Job Description
1.We are looking for an experienced and responsible HR Manager who can independently manage day-to-day HR operations and take ownership of key HR processes.
2The role will involve managing employee lifecycle activities, attendance and leave, payroll coordination, employee documentation, performance and disciplinary matters, HR communication, and other operational HR responsibilities.
3The ideal candidate should be confident in handling employees and managers, resolving HR-related matters independently, maintaining confidentiality, and ensuring timely execution of HR processes. The person will also be responsible for managing and guiding the existing HR team members.
Key Responsibilities / KRA
1. HR Operations & Employee Lifecycle: Manage end-to-end employee lifecycle activities including joining, onboarding, transfers, confirmations, promotions, employee movements and exits. Ensure employee records, documentation and HR databases are accurate and up to date. Coordinate and monitor joining formalities, appointment letters, HR documentation and employee files. Handle employee exits, clearance processes, Full & Final settlements and exit documentation.
2. Attendance, Leave & Payroll Coordination: Oversee monthly attendance, leave and reporting processes. Ensure attendance and leave records are accurately updated, reviewed and approved within defined timelines. Coordinate with payroll/accounts for accurate and timely payroll processing. Resolve attendance, leave, salary and related employee queries. Monitor LOP, deductions, recoveries and other payroll-related inputs.
3. Employee Relations & Grievance Handling: Act as a point of contact for employees for HR-related concerns and queries. Handle employee grievances, conflicts and workplace issues professionally and confidentially. Support management in addressing behavioural, disciplinary and performance-related matters. Conduct employee discussions where required and ensure appropriate documentation and follow-up. Maintain a professional and positive employee environment.
4. Performance Management: Coordinate the employee performance management process, including goal/KRA setting, reviews and confirmations. Follow up with managers on performance reviews and ensure timely completion. Support managers in handling underperformance and performance improvement processes. Maintain appropriate records of performance-related discussions and actions.
5. HR Policies & Compliance: Implement and ensure adherence to company HR policies and processes. Draft and communicate HR policies, guidelines, notices and employee communications as required. Ensure HR processes are aligned with applicable statutory and labour requirements. Maintain necessary HR records and documentation for compliance and internal requirements. Coordinate with external consultants/agencies wherever required.
6. Recruitment & Manpower Coordination: Coordinate with management and hiring teams for manpower requirements. Support recruitment activities including sourcing, screening, interviews, selection and offer rollout. Ensure timely joining against approved positions. Maintain manpower records and track open positions and hiring status.
7. HR Documentation & Communication: Prepare and issue HR-related letters including appointment, confirmation, promotion, warning, disciplinary, termination, relieving and other employee communications. Draft professional communication for HR announcements, reminders and policy-related matters. Ensure all sensitive employee communication is handled appropriately and confidentially.
8. HR Team Management: Manage and guide the existing HR team members. Allocate responsibilities and ensure timely completion of day-to-day HR activities. Review the work of the HR team and maintain proper follow-up on pending matters. Develop a structured handover and tracking mechanism to ensure continuity of HR operations. Ensure critical HR activities continue smoothly in the absence of the HR Head/HR lead.
9. Management Reporting & MIS: Prepare and maintain HR MIS and periodic reports covering headcount, attendance, attrition, hiring, exits, leave and other HR metrics. Provide timely HR data and reports to management. Track important HR deadlines, pending actions and employee-related matters. Maintain proper documentation and records for management review.
10. Exit, Clearance & Recovery Management: Manage employee exit formalities and coordinate clearance from relevant departments. Ensure company assets, documents, information and other pending requirements are properly cleared. Coordinate recovery of notice-period dues or other outstanding amounts wherever applicable. Ensure Full & Final processes are completed as per company timelines and policies.
Pharma industry experience will be an added advantage.
Strong understanding of HR operations and employee lifecycle management.
Experience in handling attendance, payroll inputs, employee relations and HR documentation.
Should have experience independently handling employee concerns and managerial discussions.
Should be comfortable working independently and taking ownership of HR operations.
What We Are Looking For: We are looking for someone who can take complete ownership of HR operations, rather than someone who only executes routine HR activities. The candidate should be capable of independently managing day-to-day HR matters, coordinating with management and employees, guiding the existing HR team and ensuring that HR processes continue smoothly without constant supervision.
